Terms and Conditions for our Wedding Services

It is agreed that the following terms set out the total agreement made between the photographer (Stephen Lloyd and any designated assistant) and client (the wedding couple or their agent). No variation or modification of this contract shall be effective unless agreed by both parties in writing.

Booking Fee

Booking fees are specific to the service chosen and outlined in the pricing schedule for that particular service. The booking fee is approximately 30% of the overall fee plus an agreed travel costs.

The Booking fee secures the time and services of the Photographer for the wedding. It is non-refundable in the event of cancellation. The booking fee is the agreed loss suffered by the photographer due to cancellation. Cancellation less than 8 weeks before the wedding will result in the payment in full. All cancellations must be in writing. Weddings that are postponed to a later date will retain the fee as long as the photographer can re-schedule for the new date and time. If the photographer cannot accommodate the new date due to another booking the booking fee will be non-refundable.


Following payment of the booking fee, balance of fees due are to be paid is as follows:

30% of the booking fee at booking
50% of the overall free 14 days prior to the wedding
The remaining 20% balance on delivery of albums, digital files or prints.

Payment for additional prints, canvases, acrylics, digital images or albums not included in the package are to be made in full when they are ordered.

Booking fees and general payments should be made by cheque to “Stephen Lloyd” or by credit card. Online payments for additional images are processed by credit card.


The copyright of all images is owned by Stephen Lloyd. Any images or copies of images whether stored digitally or otherwise and any computer program including any source or object code, computer files or printed documentation relating to such images are protected by the Copyright and Design Act 1988. It is contrary to the Act to copy or allow to be copied photographically or electronically or by any other means an image created as part of this contract without the permission of The Photographer/s in writing.

With the digital files package the client is granted the right to reprint images for use of family or friends. The onward sale of images for commercial uses is prohibited without the express commercial agreement of the copyright owner, Stephen Lloyd. Ownership of the negatives or digital files remains with the photographer.

The Photographer may display any photographs included in this contract in his marketing material including web site, portfolio, literature, display areas, exhibitions, advertising or slide shows.

Model Release

The photographer may use the images as part of a stock agency collection for resale without further model releases unless specified in writing by the client.

The photographer may use any photograph taken during the ceremony for the promotion of his business, “Stephen Lloyd Photography” only.


All reasonable efforts will be made to ensure accurate colour reproduction in the image making and printing processes. The photographer is not responsible for minor colour changes that may occur due to the limitations of the printing and image making processes.

Image Manipulation

Image manipulation is limited to the conversion to black and white photographs, sepia toning or other subtle digital effects. Where appropriate the photographer may undertake some skin enhancement and blemish removal. The client will be given both “before” and “after” images to choose from. The photographer will not undertake radical body reshaping within the images.

The photographer will make all efforts to ensure eyes are open within group scenes by taking multiple images. With groups it is impossible to be sure all eyes are open and looking at the camera. Should it be found that eyes are not all open in the preferred image cloning may be undertaken, if possible, from the back up image. The photographer undertakes to ensure multiple shots are taken of all group poses.


All reorders shall be treated as an extension of this contract and therefore subject to the same terms.

Image range

The photographer will establish with the client the range of poses, people combinations, and style preferred at the pre wedding meetings. The Photographer shall be granted artistic license in relation to the poses photographed and the locations used within the set parameters, or totally if no guidance is given. The Photographers’ judgment regarding the locations and poses and number of images taken shall be deemed correct

Due to the vagaries of the weather and the willingness of subjects it may not be possible to capture all the images requested.


Pricing includes travel within an area 10 miles radius of Twickenham centre. Travel outside the area will be charged at cost. Overnight accommodation will be required for photographic shoots more than 100 miles from Twickenham for two nights.

International travel is not included in pricing. Flights for the photographer (and assistant for large weddings) on Star Alliance or One World carriers will be charged at cost. Flights into Europe will be in economy class, long haul in premium economy if available or business if not. Overnight accommodation, meal and transfers for a minimum two nights on short haul flights and 4 on long haul flights will be charged at cost. Should VISAs be required these are charged at cost.

All travel charges will be agreed at contract signing. International travel fees for airlines will be paid in full as an addition to the initial booking fee. These are non-refundable in case of cancellation.

“Force majeure” or “Act of God”

The due performance of this contract is subject to alteration or cancellation by either party owing to any cause beyond their control.

Limitation of Liability

In the unlikely event of a total photographic failure or cancellation of this contract by either party or in any other circumstance the liability of one party to the other shall be limited to the total value of the contract. Neither party shall be liable for indirect or consequential loss.

Stephen Lloyd Photography carries professional indemnity insurance and recommends the client carries wedding insurance.


The Client may cancel this contract at any time by giving written notice to Stephen Lloyd Photography but in doing so shall forfeit all monies paid. Cancellation less than 2 weeks before the wedding date will result in the payment in full.


Any complaints should first be raised by the Client with the Photographer/s in writing within 21 days from the date of receipt of prints, albums, digital images or other presentation media. In the unlikely event of an unresolved complaint the Client may request the Society of Wedding and Portrait Photographers to mediate but only on the basis that its decision shall be final and binding upon both parties.
